Responsibilities

A Day in the Life of a Vendor Records Specialist:

 

As a Liberty Military Housing Vendor Records Specialist, you will be responsible for creating, reviewing, and accurately maintaining all vendor records for Liberty Military Housing. You will utilize various accounting systems and must display attention to detail and work effectively with the account payable team.

 

Your Responsibilities include, but not limited to:

  • Process New Vendor Input requests and ensure they are set up correctly in Yardi Voyager, Vendor cafe, and RMIS.
  • Approve inactive vendors upon request and review that the account is complying according to policy.
  • Request the required documentation from the vendor as needed.
  • Review vendor certifications, property certifications, and client approvals.
  • Assist Vendors in resolving invoice discrepancies, access issues, and certification issues.
  • Utilize systems and processes related to Yardi, Marketplace, Vendor Shield, and Vendor Café.
  • Assures adherence to company purchasing policies and procedures, including proper approvals and documentation.
  • Assist in preparing and updating process documentation for a variety of accounts payable procedures.
  • Gather data and provide as-needed analysis on a variety of items, including but not limited to payables, receivables, utility usage, cost, and other ad hoc assignments.

Qualifications

What You Need for Success: 

  • Technological capabilities and experience with Microsoft Office (and specifically comprehension of advanced Microsoft Excel functions) are required.
  • Ability to adapt to a fast-paced environment, flexibility is important.
  • Yardi experience is preferred but not required.
  • Must be able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service.
  • Property management and Accounting experience are preferred.
  • Excellent oral and written communication skills are required.
  • Applicant must be detail-oriented, ability to ensure accuracy of work.
  • Applicant must be able to work in a fast-paced environment and have the ability to communicate with multiple team members, internal clients, and external clients.
  • High school diploma or GED required.
  • Associate degree preferred or a minimum of four years accounting/office experience. 
  • Must be able to talk, listen, and speak clearly on the telephone.
  • The position requires mobility within the office; use of a computer and other office machinery such as a scanner and copy machine.
  • Must be able to deal with a fast-paced, constantly changing work environment, including handling multiple tasks on a daily basis.
  • May require use of personal or company vehicle, or electrical cart.

Pay Range: $19.00 - $27.00 hourly
